Position Overview

We're looking for a Client Success & Accounts Specialist to join our Duncan team — someone who can own the full customer relationship from the day they drive off the lot. This role blends client account management, accounts payable, insurance verification, and sales and service support into one job: the steady hand who keeps customers on track and keeps our books and compliance airtight.

Key Responsibilities

Client & Account Management

  • Serve as the ongoing point of contact for customers after delivery — answering questions on payments, insurance, and service.
  • Build real relationships that keep customers paying, driving, and coming back.
  • Document every interaction and account update in the Dealership Management System (DMS).

Accounts Payable & Insurance Verification

  • Process vendor invoices and payments accurately and on schedule.
  • Reconcile accounts payable records and maintain clean, audit-ready documentation.
  • Verify and update customer insurance coverage twice weekly to stay compliant with lease terms.
  • Communicate directly with insurance agents and carriers to resolve coverage gaps.

Sales & Service Support

  • Collections follow-ups and help customers stay current on payments.
  • Coordinate service appointments and communicate repair status between customers, technicians, and vendors.
  • Support the sales process — sending application links, following up on documents, and prepping files for approval.
  • Process daily customer payments and receipts as part of front-office operations.

Qualifications

  • Comfortable with numbers — our systems do the heavy lifting, but you'll need to catch it when something doesn't add up.
  • Strong reading comprehension — you retain instructions, account details, and what a customer actually told you, not just the gist.
  • A memory for people — you remember names and history, because that's what makes a customer feel like more than an account number.
  • Coachable — open to feedback, willing to look back at what worked and what didn't, and adjust without taking it personally.
  • Excellent communication and relationship-management skills.
  • Experience in accounts payable, bookkeeping, customer service, account management, or automotive service preferred.
  • Knowledge of insurance verification, automotive operations, or service scheduling a plus.
  • Organized, detail-oriented, and comfortable managing multiple priorities at once.
  • Proficiency with computers and Dealership Management Systems (DMS) preferred.
  • Valid driver's license with a clean driving record is mandatory.
